1. Who We Are

The Crib is operated by Omed Hossaini, carrying on business as "TheCrib – plateforme sportive" (Sole proprietorship), NEQ 2281774812. We are the controller of personal information collected through the Service.

2. Scope

This Policy explains how we collect, use, disclose, store, and protect personal information when you use TheCrib website, app, and related services.

3. Information We Collect

  • Account data: name, email, role, profile photo, authentication identifiers.
  • Team data: roster details, schedules, attendance, player evaluations, statistics, practice plans, whiteboard drawings, drill libraries, communications, and uploads.
  • Billing data: plan status, subscription events, and transaction identifiers (processed by Stripe and Apple). We do not store full card numbers.
  • AI data: prompts submitted to the AI practice plan generator are sent to OpenAI for processing. Do not submit sensitive personal information in AI prompts.
  • Availability & schedule data: times you choose to block off as busy or as class, so your coaches can spot conflicts before games and practices. Providing this is voluntary — you decide what to block, and naming a class or room is optional; if you add a name, your coaches can see it. These blocks are visible only to your team's coaches and to you, never to other players or parents, and you can edit or delete them at any time. You may also add or import schedules and events (e.g. an .ics file you export yourself from your school portal); you must have the right to import any schedule you add, and it is used only to display your calendar and availability. TheCrib is not affiliated with or endorsed by Omnivox, Skytech, or any school.
  • Technical data: device information, IP address, browser/app information, event logs, and diagnostics.
  • Support data: requests and messages sent to our support channels.

4. How We Use Information

  • Provide and operate the Service, including account and team management.
  • Process subscriptions, billing events, and plan access controls.
  • Send operational notices, reminders, and product communications.
  • Monitor security, prevent abuse, investigate incidents, and enforce Terms.
  • Comply with legal obligations and respond to lawful requests.

5. Legal Basis for Processing

Depending on your location, we process personal information based on one or more of the following:

  • Your consent.
  • Performance of a contract with you (service delivery and subscriptions).
  • Our legitimate interests (security, reliability, and product improvement).
  • Compliance with legal obligations.

6. Sharing and Disclosure

We do not sell personal information. We may share information with:

  • Google Firebase: authentication, database, storage, hosting, and push messaging.
  • Stripe: subscription payment processing on web.
  • Apple: in-app purchase processing on iOS. iOS purchases are governed by Apple's terms.
  • OpenAI: processing of prompts submitted to the AI practice plan generator.
  • SendGrid: transactional email delivery.
  • Team participants: where sharing is necessary for team operations in the app.
  • Legal authorities: where required by law, court order, or to protect rights and safety.

7. International Transfers

Personal information may be processed outside Quebec or Canada by our service providers. When this happens, we use contractual and organizational safeguards required by applicable law.

8. Retention

We keep personal information only as long as necessary for the purposes described in this Policy, to meet legal obligations, resolve disputes, and enforce agreements. When no longer needed, we delete or anonymize data.

9. Security

We use reasonable technical and organizational safeguards, including:

  • Access controls and role-based permissions.
  • Encryption in transit and security controls from hosting providers.
  • Logging and monitoring for suspicious activity.

No online service is completely secure, but we continuously improve controls to reduce risk.

10. Children and Minors

The Service is not intended for direct use by children as account holders. Accounts are created by adult coaches and team staff.

Coaches enter information about players, including minors, to run their team (name, photo, attendance, evaluations, statistics). When a coach adds a player, they must confirm they have consent from the player or, for a minor, from a parent or legal guardian. We keep a timestamped record of that confirmation.

Under 14 (Quebec, Law 25): under Quebec's Law 25, personal information about a minor under 14 is only collected, used, or disclosed with the consent of a parent or the person having parental authority. A player under 14 should not create an account themselves, and the coach who adds them confirms they hold that parental consent. Minors aged 14 to 17 may consent for themselves.

Parents or guardians can contact us at contact@thecrib.ca to access, correct, or request deletion of a child's information.

11. Your Rights

Subject to applicable law, you may request to:

  • Access personal information we hold about you.
  • Correct inaccurate information.
  • Request deletion of information, where permitted.
  • Withdraw consent where processing depends on consent.
  • File a complaint with a privacy regulator.

12. Quebec Law 25 Information

For Quebec privacy matters, the person responsible for personal information is Omed Hossaini. We maintain a process for confidentiality incidents and will provide notices required under applicable law.

13. Cookies and Similar Technologies

We use cookies and similar technologies for authentication, session management, analytics, and performance. You can control cookies through browser settings, but disabling them may reduce functionality.

14. Changes to This Policy

We may update this Policy from time to time. If we make material changes, we will update the Last Updated date and post the revised version.
